1. Introduction

PressBox, Inc. ("the Company," "we," "us," or "our") operates getpressbox.org and the PressBox platform (the "Service"), an AI-powered sports content generation tool built for regional sports publishers, broadcast stations, and independent sports media teams. This Privacy Policy explains what information the Company collects through the Service, how we use it, and the choices available to users and customers.

This policy covers information collected through the Service and through direct communications with us. It applies to visitors to getpressbox.org, individuals who create subscriber accounts, and organizations that connect game data feeds or submit editorial content through the platform.

2. Information We Collect

2.1 Account and Registration Information

When you create a PressBox account or contact us, we collect information you provide directly, including:

  • Name, email address, and organization name at registration;
  • Billing contact information and subscription tier selection;
  • API credentials or integration tokens you configure for sports data feed connections;
  • Contact details, role, and message content when you submit inquiries through the contact form or email [email protected].

2.2 Customer Content: Game Feeds and Voice Calibration Samples

PressBox processes two categories of content that customers submit to operate the Service:

  • Game feed data: structured sports statistics, scores, play-by-play summaries, and event records delivered to the platform through API connections that customers configure with third-party sports data providers. This data pertains to athletic events and generally does not include personal information about identifiable individuals beyond player names and performance records in a publicly reported context.
  • Editorial content samples: past articles, newsletters, or writing samples that customers voluntarily upload to calibrate the brand voice profile for their outlet. These samples are stored and analyzed solely to build and maintain the outlet's voice model within that customer's account.

The Company does not use game feed data or editorial content samples customers submit to train generalized AI models, build proprietary datasets for sale, or share customer-submitted content with other accounts. Processing of this content is limited to delivering the Service to the customer who submitted it.

2.3 Automatically Collected Technical Data

When you visit getpressbox.org or use the platform dashboard, we automatically collect limited technical information:

  • IP address and approximate location at city or region level;
  • Browser type, operating system, and device class;
  • Pages visited, referring URLs, and time on page;
  • Session identifiers and usage patterns within the editorial dashboard;
  • Cookie and similar identifiers (see Section 5 and our Cookie Policy).

2.4 We Do Not Knowingly Collect Children's Data

The Service is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact [email protected] and we will delete it promptly.

3. How We Use Information

The Company uses the information we collect to:

  • Generate match recaps, newsletters, and social posts in each outlet's calibrated brand voice;
  • Provision, maintain, and improve the Service and the draft generation quality;
  • Manage accounts, process subscription billing, and communicate about service status;
  • Respond to support inquiries, contact form submissions, and editorial questions;
  • Send product updates, feature announcements, and (where you have opted in) promotional communications;
  • Detect, investigate, and prevent fraudulent use or abuse of the platform;
  • Comply with legal obligations and enforce our Terms of Service.

We do not sell personal information for monetary value. Where applicable state law treats certain advertising arrangements as a "sale" or "share," see the state-specific section below.

4. Sharing of Information

The Company shares personal information only with:

  • Service providers acting on our behalf, including cloud hosting infrastructure, transactional email delivery, subscription billing, and anonymized analytics, each operating under contractual confidentiality terms that restrict use to providing services for us;
  • Third-party sports data API providers through integrations that customers configure within the platform (these integrations are governed by each provider's own terms);
  • Law enforcement or regulatory authorities when required by applicable law, court order, or to protect the rights, safety, or property of the Company or others;
  • A successor entity in the event of a merger, acquisition, or sale of assets, subject to this Policy.

We do not sell personal information to third parties.

5. Cookies and Tracking

We use cookies and similar technologies to operate the Service, authenticate user sessions, remember preferences, and measure usage patterns in the editorial dashboard. For full details on categories, lifetimes, and your opt-out choices, see our Cookie Policy.

6. Data Retention

The Company retains personal information only as long as necessary for the purposes described in this Policy, to satisfy legal or accounting obligations, or to resolve disputes. Specifically:

  • Active account data is retained for the duration of the subscription and for 90 days after account closure to support potential reactivation;
  • Editorial content samples and generated output are retained for the duration of the subscription; customers may delete voice calibration samples at any time through the account dashboard;
  • Marketing contact records for inactive subscribers are purged after 24 months of inactivity;
  • Server access logs are retained for 90 days and then aggregated in non-identifiable form.

7. Security

The Company uses administrative, technical, and physical safeguards designed to protect personal information, including TLS encryption for data in transit, access-controlled databases, and least-privilege internal access controls. Customer editorial content samples are isolated per account and are not accessible to other customers. No system is perfectly secure, and we cannot guarantee absolute security.

8. Your General Rights

Depending on your jurisdiction, you may have rights including access to, correction of, and deletion of your personal information, and the ability to limit certain processing. To make a request, email [email protected]. We will respond within the timeframe required by applicable law.

9. Texas Residents (TDPSA)

Under the Texas Data Privacy and Security Act ("TDPSA"), Texas residents have the rights described below regarding personal data the Company controls or processes.

9.1 Your TDPSA Rights

  • Right to Confirm and Access: confirm whether we are processing your personal data and obtain access to it.
  • Right to Correct: correct inaccuracies in your personal data.
  • Right to Delete: request deletion of personal data we have collected from or about you.
  • Right to Data Portability: obtain a portable copy where we maintain it electronically and where technically feasible.
  • Right to Opt Out: opt out of targeted advertising, sale of personal data, and profiling for decisions producing legal or similarly significant effects. We do not engage in any of these activities.

9.2 Sensitive Data Consent

If we ever process sensitive data as defined under TDPSA (for example, precise geolocation, biometric, or health data), we will obtain your prior consent. The Service does not currently process such data.

9.3 How to Exercise

Email [email protected]. We respond within 45 days; one 45-day extension is available with notice to you.

9.4 Appeal

If we deny your request you may appeal by replying to our response. If denied on appeal, you may contact the Office of the Texas Attorney General Consumer Protection Division.

9.5 California Visitors

If you are a California resident, you may also exercise the rights granted under the California Consumer Privacy Act ("CCPA") and California Privacy Rights Act ("CPRA"), including the right to know, the right to delete, the right to correct, and the right to opt out of sale or sharing. We do not sell personal information and do not "share" personal information for cross-context behavioral advertising.

10. Changes to This Policy

The Company may update this Policy from time to time. Material changes will be reflected by a new "Last updated" date and, where appropriate, a notice on the Service. Continued use of the Service after the updated Policy takes effect constitutes acceptance of those changes.
